CH 4/10/04 Minutes

Present: Jason, [[Rod]], Becky, Melisa, Heather, Amy N, Laura, [[Jenny]]


Decision: April 17th will be painting day, [[Rod]] will honcho. Decision: Aquarium is ok'd for the sitting room, Tammy & Eric will just give notice when they are ready.
Decision - we will remount the coat racks - back to the higher position so we can eventually put in kid racks.


Monkey to everyone on CH cmtee: Please check your job description on the wiki, and update it with anything you think is missing.
Monkey to Becky: Write draft of room use proposal, based on what the parents group did, for next week's mtg.

NEW CONCERNS
Minutes - would really love to have a minute taker, who would be responsible for taking minutes, and getting them posted to the wiki. Any takers?

Window screens - we'll put these up during painting/grounds weekend.

Aquarium - will be in the sitting room, once they have come up with the funds. Who is going to maintain it? We think Eric has agreed to do this as long as he is here. Concern about this getting dropped, but it's so important to Eric and Tammy, that we probably don't have to worry.
Check in on room monkeys.
Guest Room - Mary King is getting the bed, Tammy and Eric providing wardrobe. Melisa will do blinds, maybe starting with temporary ones.
[[Rod]] will ask tammy and eric. Becky will follow up with Mary.

Media room. TV, dvd and cart are here, got the surround sound speakers. Susan and George donating couch that is a full size fold out bed. VCR is being tested. Still looking for short couch and side tables and maybe a lamp. Shelving is desired for dvds, videos and maybe even books. Mounted on the wall to leave floor space. Idea for bookcase. Security? Window coverings in there soon would be nice to hide the stuff. Do we want to make sure windows are closed at night?
Putting this in a cooler for now.

Cable in the media room vs satilite? Which is easier? We think it's already wired for cable, just need hookup. Decision: Amy will talk with Lisa and Sara about this.

Game room - on hold till [[Elph]] comes.
Rachel is on the Kids room.

Painting - East end is done with all painting - doors are all on! Many thanks. 2nd coat still needs to happen in the Dining room. Decision: April 17th will be painting day, [[Rod]] will honcho.
Lobby news: Kirk is going to come in and try to work on concrete. If it works, we need to seal it. This will mean that nobody can use it for 2 DAYS!!!!

Just a reminder that the Open house event is May 1 AND May 2 so please schedule the concrete sealing around those dates.

Coat racks: Decision - we will remount the coat racks - back to the higher position, so that we can eventually put in the kids rack. We will ask Jeff, as maintenance to do this, but shimmed so the coats don't fall off. Becky will talk to Jeff.

Windows - where are we on the shades? Melisa needs to order them. She still has the priority list. Will try to get the media and guest room asap.
Window screens - they are all in the garage. [[Rod]] will add that to the painting for next weekend. Maybe get grounds to help.

Kitchen - elph's got the latest info. we need the island. [[Elph]], can you send us an update on the island.


Parcel lockers- coming in on Tuesday. Jeff will work with Ted.

Changing Agenda Order -

Room Use Policy-

Do we want specific or more general? Something in between? Really liked what the parents did come up with the kids - very positive language. We all agreed that's a great starting place. Decision: Becky will take the doc from the parents, and bring back next week a proposal.
Work Breakdowns - not sure we can do this today...but the work cmtee has asked us to look at jobs and descriptions and hours. As specific as we can get. If we need people to be at cmttee mtgs, we can add that to their descriptions.
What's not working for Melisa is that people on cleaning crew are not tracking what they are doing. Discussion about how to gather this info. This system isn't 100% in place yet...

Lockup - having just 1 person to lock up everynight for 3 months seems unreasonable. This position has 1 hour a month, if you add in making sure windows are closed. it' really takes more like 2.5 hrs a month. 2 1 hour shifts.
Convenor - Becky needs more info before giving report - there are things she knows she hasn't been doing yet.
3rd office - lock is broken. [[Elph]] - are you looking at getting a keypad for this?

Keys - we need the key box - [[Elph]], are you looking at this?

Back on track - Are we using the contingency hours - the people are : Dorothy, Pam, and Ted.

Let's identify jobs that should come to meetings? Maintenance coordinator, cleaning coordinator, Cleaners should be willing to meet on their own, buying common house supplies will be a new job.
Monkey to everyone: flush out your job descriptions. Melisa will talk to jeff about this.

Decision: Melisa empowered to figure out how to clean the chairs.
Would like to see the new meals committee have regular representation at CH mtg.
Melisa will distribute leases, when done give to Patti, CH needs to be billed for 25% of shared office.

Request from open house - have them use easels or propped or double sided tape and not leave up for more than 24 hrs

I would actually like to find a way to leave at least some of the display up for the Sunday afternoon event (1 - 4 p.m.) as I think it would be a nice source of information for the general public. It could easily come down before Sunday dinner. Would that still meet your concerns for setting a 24 hour time limit?

Our concern about the 24 hrs was if you taped the display - longer than that it may be hard to come off the walls. If you are just propping them up, or using easels, they could be displayed longer. Hope that helps!
