Common House minutes: 2020-06-09

Minutes:

<>Common House Committee – June 9, 2020

Present: Gail, Elph, Marta, Syndallas, Annie. Facilitated by Mary King

In response to the Steering Committee’s request to prepare for re-opening, and report back to SC on June 13, 2020 today we documented the following:

Three new items are introduced versus the guidelines of May 5, 2020:

1, Upon entering the Common House everyone should wear a mask, starting now

2, Everyone should keep a 6-foot distance inside the common house (own household exempt)

3, The sinks are being deep cleaned every week by Elph: across the laundry room, in the kitchen and in the West bathroom.

We are waiting on an ad-hoc committee formed by three people, Mary, Syndallas plus one more person, to reflect on the needs and resources of the CH in relation to the CDC requirements and come up with the applicable suggestions for CHC to discuss and implement and bring to the Steering Committee for approval.

Following the MI Safe Start Map stages by Michigan Governor Whitmer, appropriate for the Southeast Michigan Public Health Region – Washtenaw County is currently in Risk Phase 4. https://mistartmap.info <https://mistartmap.info/>

Current stage: Medium risk stage – Risk Phase 4.

Anyone with any symptoms must avoid the Common House. 10 out of 14 spaces, most rooms are closed and not sanitized. Kitchen is out of use. We sanitize available, frequently used surfaces, that takes about 15 min a day. Kids’ room is closed. Hot tub is open. Laundry room is by reservation, for single household use only, fully cleaned and sanitized weekly. Office 1 (Melisa) is available to her, and Office 2 (Syndallas) and GO Community Office (including GO Network maintenance) are single household use at a time.

Guest room must not be used for COVID positive person’s quarantine, at all. Reason: circulation of indoor air (filter cannot catch the virus) would spread virus everywhere.

Game room - single household use, per reservation, sanitization before and after by member.

Cannot do any activities in the CH with multiple households.

CH Committee anticipates not changing our current guidelines on CH usage until the State of Michigan has posted a low level of concern regarding COVID, Risk Phase 5.

Further immediate action when a COVID-positive member traced to have been in the CH within the last 72 hours:

Close the CH (take door codes off) for the remaining part of 72 hours. Mailman needs individual attention. Office renter needs individual attention. “Association asks Post Office to hold mail for x number of days”

Reopening CH with extremely low risk activities, best practices:

Single household use of any reserved room if self-sanitized before and after
To be negotiated with Meals and Grounds if the GRILLS can be opened under this stage. No use of utensils from the kitchen.

Reopening CH with low risk activities:

Kitchen, if only crewed by a single household, including clean up, based on coordination with Meals Committee (pending kitchen redo may take over the kitchen) can be opened when Risk is Low.
Dining room is not open. Cups and plates are not in circulation.
Laundry room remains on a single household, per reservation basis. Cleaned once a week and sanitized by users plus at the end of day.

Reopening CH with all activities:

When we are no longer advised to wear a mask (likely Risk Phase 6), we can resume the use of kitchen and dining room for common meals.
Before we open, a cleaning of the Common House (that we missed for Spring Work Day) needs to happen, as a community activity
We consider maintaining the laundry room for a single household per reservation only system even after opening the rest of the CH up.

Continuation of Zoom option for Community Meetings is a CHC recommendation. People can avoid going to the Common House if they do not feel safe.

Common House Committee will also offer the option of Zoom participation in CHC meetings.

We anticipate further updates to this proposal as needed, especially with the input from the ad-hoc committee.
